Managing Batches

By the end of this guide, you'll know how to find, organize, and manage your gift card batches.

View all batches

1. Open BatchCard in your Shopify admin.
2. The dashboard shows all your batches with a summary of each: name, number of cards, total value, and creation date.

Search and filter batches

3. Use the search bar at the top to find batches by name.

You can also filter by:

• Status: All, Completed, In Progress, Resolving, Failed, Cancelled, or Archived. Archived is a view, not a status. Selecting it reveals archived batches, and every other view leaves them out. A batch where some cards failed shows a Partial status. There is no Partial filter, so you find those batches under All. See status definitions for what each status means.
• Date range: find batches created within a specific period
• Tags: filter by tags you've added

View batch details

4. Click any batch to open its detail page.

The detail page shows:

• Every gift card code in the batch
• The value and status of each code (active, disabled, or redeemed)
• Delivery status for each recipient (if email delivery was used)
• Batch notes and tags

While gift cards are being created or delivered, the page updates automatically. There is no need to refresh.

You can also:

• Choose which columns appear in the gift card table. Your column choices are saved and apply the next time you visit.
• Click View in Shopify on any card to open that gift card directly in your Shopify admin.

Add tags

Tags help you organize batches across campaigns, departments, or time periods.

5. Open a batch and click the pencil icon next to Tags. The Edit tags window opens.
6. Enter a tag name (for example, "Q1 2026" or "Marketing"), press Enter, and click Save.

You can add multiple tags to a single batch. Tags appear on the batch list and are searchable.

As you type, BatchCard suggests tags you have used before. Select a suggestion to reuse an existing tag.

Add notes

Notes let you record context that's visible only to you and your staff.

7. Open a batch and click the Notes section.
8. Enter your note and click Save.

Good notes include: who requested the batch, the purpose, any external reference numbers, or special instructions.

Cancel a batch

You can cancel a batch that is in progress or has pending deliveries.

9. Open the batch and click Cancel.

Cancelling stops any pending email deliveries. Gift cards that were already created remain active in Shopify until something else changes them. To turn those cards off, deactivate the whole batch from the batch page, which requires the Starter plan or higher. See updating a whole batch.

Archive a batch

Archiving tidies your batch list without touching the gift cards. It becomes available once a batch has finished creating its cards.

10. Open the batch.
11. Click More actions.
12. Click Archive batch. A window opens and explains what archiving does.
13. Click Archive batch again to confirm.

Archiving hides the batch from your default batch list. The gift cards stay live in Shopify and reminders keep sending. Archiving never changes anything for your customers, and you can unarchive the batch at any time.

To unarchive, open the batch, click More actions, and click Unarchive batch. On an archived batch that item takes the place of Archive batch, in the same spot below the divider.

To find an archived batch, go to the batches page and select the Archived filter. Every other view leaves archived batches out. Archived rows show an Archived badge next to their status.
