Status Definitions
Batches, gift cards, and deliveries each have a status. Use this reference to understand what each status means and what you can do.
Batch statuses

| CREATED | The batch has been submitted. Gift card creation has not started yet. | View details |
| RESOLVING | BatchCard is matching your recipients to the gift cards before creation starts. The progress page shows a Resolving recipients step. | View progress |

| COMPLETED | All gift cards in the batch were created. | View details, export codes, manage deliveries, archive the batch |
| PARTIAL | Some gift cards were created, but others failed. | View details, export created codes, retry the failed cards, archive the batch |
| FAILED | The batch could not be completed. No gift cards were created. | View error details, retry, archive the batch |
| CANCELLED | The batch was cancelled. | View details, archive the batch |
The batches page has a filter tab for most of these statuses, but not for Created or Partial. Batches in those two statuses appear under the All tab.
Archiving becomes available once a batch reaches Completed, Partial, Failed, or Cancelled. A batch that is still creating cards does not offer it. See archive a batch.
Batch status flow
A typical batch moves through these statuses:
- CREATED -- You submit the batch.
- RESOLVING -- BatchCard matches your recipients in the background. Large imports spend most of their wait here.
- RUNNING -- BatchCard creates the gift cards in Shopify.
- COMPLETED -- All cards are ready.
If some cards fail during step 3, the status changes to PARTIAL. If the entire batch fails, the status changes to FAILED.
The batch detail page updates automatically while gift cards are being created and delivered, so you do not need to refresh to see status changes.
On a PARTIAL batch, click Retry to re-create only the failed cards. Cards that were created successfully are not duplicated.
Gift card statuses
| Status | Description |

| active | The gift card was created in Shopify and is ready to use. |
| failed | The gift card could not be created. |
| cancelled | The gift card creation was cancelled. |
Gift card status tracks whether the card was created. Delivery status (below) tracks whether the notification email was sent.
Card states after creation
The two tables above describe a batch and how each card's creation turned out. This table is a third vocabulary: where a card stands now in Shopify. Most cards are active and ready to spend, so this list covers the states that mean something else.
| State | What it means | What you can do |
|---|---|---|
| Deactivated | The card was turned off, either in your Shopify admin or by a batch update. Any balance still on it can no longer be spent. This is not the same as being redeemed. | Deactivation is permanent. Create a new card if the recipient still needs one. |
| No balance left | The card was redeemed until nothing remained. | Nothing to do. The card did its job. |
| Expired | The card is past its expiration date in your store's timezone. | Extend the batch's expiration to make the card redeemable again. See updating a whole batch. |
| Not synced yet | BatchCard has not read this card's balance from Shopify yet, so its current state is unknown. | Its state resolves the next time BatchCard refreshes balances from Shopify. You can check the card in your Shopify admin at any time. |
| Anonymized | Data retention replaced the recipient's name and email with masked values. The gift card itself is untouched and still spendable. | Nothing to do. BatchCard can no longer email this card, so share the code from an export instead. |
BatchCard reports these states when it skips a card during a bulk resend or a batch update, so you always know why a card was left out.
Delivery statuses

| sent | Email notification was sent. This status is inferred approximately 1 hour after the scheduled send time. | View details |
| failed | Email notification could not be sent. | Retry delivery |
| cancelled | Email delivery was cancelled before sending. | View details |
BatchCard triggers Shopify's built-in gift card notification email. BatchCard does not send emails directly and does not track whether the recipient opened the email.
