Gift Card Reports

By the end of this guide, you'll know how to read the Reports page and export gift card liability numbers for your accountant.

What the report shows

Every unspent gift card is a liability: money your store owes. The Reports page tracks it in one place:

• Outstanding balance: the total unspent value across every gift card in your store, as of the last sync.
• Issued vs. redeemed: how much value you issued and how much was redeemed, per day, over your chosen date range.
• Expiring soon: cards approaching their expiration date.

The report covers all gift cards in your store, including cards created in the Shopify admin or by other apps, not just cards BatchCard created.

Open the report

1. Open BatchCard.
2. Click Reports in the navigation.

The page loads with your current outstanding balance and the last 30 days of activity.

Change the date range

1. Click the date range picker.
2. Choose a preset or set custom dates.

Period totals and the chart update to match. The headline outstanding balance does not change with the range: it always shows the current number from the latest sync.

Keep the numbers fresh

BatchCard syncs card balances from Shopify once a day. The report shows the exact time of the last sync next to the headline number.

Need fresher numbers right now? Click Sync now. The sync runs in the background and the page updates when it finishes.

Export for accounting

Two exports are available:

• Summary CSV: daily issued, redeemed, and outstanding totals for the selected range.
• Detail CSV: one row per card with masked card number, balance, and status.

Pair it with reminders

The expiring-soon list tells you which value is about to lapse. Expiration reminders email those recipients automatically, so the value gets spent instead of written off.
