Scheduling Delivery

By the end of this guide, you'll have scheduled gift card emails to deliver at a specific date and time.

When to use scheduled delivery

Scheduled delivery is useful when you want gift cards to arrive at a specific moment:

  • Holiday morning deliveries (for example, December 25 at 8:00 AM)
  • Employee reward announcements timed with company events
  • Promotion launches coordinated with marketing campaigns

Set a delivery schedule

  1. Open BatchCard and click Create Batch.
  2. Fill in the batch details (name, quantity, value).
  3. Turn on Email Delivery and add your recipients.
  4. Turn on Schedule Delivery.
  5. Choose the date and time for delivery.

The schedule uses your store's timezone (set in Shopify admin under Settings > General). All recipients in the batch receive their email at the same scheduled time.

  1. Click Create.

BatchCard saves the batch and queues the email notifications for the scheduled time.

You can schedule deliveries from 1 hour to 90 days in advance. The schedule uses your store's timezone.

How scheduling works

When you submit a batch with scheduled delivery:

  1. Gift cards are created immediately in Shopify.
  2. Email notifications are held until the scheduled date and time.
  3. At the scheduled time, Shopify sends the notification emails automatically.

You do not need to be online or have the app open.

Gift cards exist in your Shopify store from the moment you create the batch. Only the email notifications are delayed.

View scheduled deliveries

  1. Go to the BatchCard dashboard.
  2. Scheduled batches show a clock icon and the scheduled delivery date.

You can filter your batch list to show only scheduled deliveries.

Reschedule a delivery

If you need to change the delivery date or time:

  1. Open the batch from the BatchCard dashboard.
  2. Click Reschedule.
  3. Choose the new date and time.
  4. Click Reschedule to confirm.

The notification emails are updated to the new schedule. Gift cards are not affected.

Send scheduled deliveries early

If you want to send the notification emails before the scheduled time:

  1. Open the batch from the BatchCard dashboard.
  2. Click Send Now.

All pending notification emails are sent immediately.

Cancel scheduled deliveries

  1. Open the batch from the BatchCard dashboard.
  2. Click Cancel Delivery.

Canceling stops the pending notification emails. The gift cards remain active in your Shopify store. Recipients can still use any codes you share with them manually.

Result

Your gift card emails are scheduled, rescheduled, sent early, or cancelled. Gift cards remain active in your Shopify store regardless of delivery status.
