Expiration and Balance Reminders

By the end of this guide, you'll have BatchCard sending automatic reminders before gift cards expire and when cards still have an unredeemed balance.
When to use reminders
Reminders bring recipients back before value goes unused:
- Nudge recipients before a card's expiration date so the value does not lapse.
- Remind holders of a partially used card that they still have money to spend.
- Recover holiday and promotion gift cards that recipients forgot about.
Reminders cover the gift cards BatchCard created for you, using the recipient email on each card. They send from your settings on a daily schedule, so you set them once and leave them running.
Turn on expiration reminders
- Open BatchCard and go to Settings.
- Find the Reminders section.
- Turn on Expiration reminders.
- Set your reminder windows. By default, BatchCard sends one reminder 30 days before a card expires and a second reminder 7 days before. Change these numbers, or add windows, to match how your store communicates.
- Click Save.
Each window is its own reminder. With the 30-day and 7-day defaults, a card can receive up to two expiration reminders. Only cards that have an expiration date qualify.
Turn on balance reminders
Balance reminders reach recipients who still have money left on a card.
- In the Reminders section, turn on Balance reminders.
- Set the days after issue to wait before reminding. This gives recipients time to use the card before you nudge them.
- (Optional) Set a minimum balance threshold. BatchCard reminds recipients only when the remaining balance is above this amount, so small leftover balances do not trigger emails.
- Click Save.
Each card receives at most one balance reminder. A card qualifies when its balance is above zero and above your threshold.
How reminders are sent
BatchCard checks your gift cards once a day and sends any reminders that are due.
- Each reminder sends at most once per card. BatchCard records every reminder it sends, so a card is never reminded twice for the same window, even if you edit a window later.
- Dates use your store's timezone. BatchCard calculates each reminder window against your store's timezone (set in Shopify admin under Settings > General), so a "7 days before" reminder lands on the day you expect.
- Spent or disabled cards are skipped. At send time, BatchCard skips any card that has been disabled, fully redeemed, or dropped to a zero balance, so recipients only hear from you when a card is still worth using.
Where reminder emails come from
How a reminder is delivered depends on whether you have connected Klaviyo:
- Klaviyo connected. Reminders fire through your own Klaviyo account as events, so you build and control the emails inside Klaviyo. To branch a Klaviyo flow between expiration and balance reminders, see Branch flows on reminders.
- Klaviyo not connected. BatchCard sends the reminder using its own fixed email template. There is no layout editor. You control the look through your Email appearance settings (logo and accent color), which also power the template preview.
Your Email appearance settings live in the Reminders section. Add a logo and an accent color to brand the reminder emails BatchCard sends for you. Use Send test email to preview a real reminder before recipients receive one.
Result
Reminders are on. BatchCard now checks your gift cards every day and sends expiration and balance reminders automatically, once per card, in your store's timezone.
