Set it once, stay compliant

Privacy regulations like GDPR expect you to keep personal data only as long as you need it. Choose a retention window of 1, 7, or 30 days, and BatchCard removes each recipient's email, name, and personal message that many days after delivery. Automatically, every day. It is off by default, so nothing changes until you turn it on.

A clear record, never a silent blank

Anonymized cards show masked values and a labeled "Anonymized on" date in your batch table and CSV exports, so your records stay honest. Every purge run is logged with a date and card count you can point to in a privacy review.

How It Works

Choose a retention window

Go to Settings, find Data retention, and pick 1, 7, or 30 days. Off is the default on every plan.

Preview before you commit

BatchCard counts exactly how many existing cards match the window and asks you to confirm. No data is removed without that preview.

The daily sweep does the rest

Each day, BatchCard anonymizes cards whose window has passed: email and name are replaced with masked values, and the personal message is deleted.

Everything else keeps working

Codes, values, balances, and redemption are untouched. Resends and reminders automatically skip anonymized cards, so no one is emailed after their data is removed.

What exactly gets removed?
The recipient's email and name are replaced with masked values (like b*****@d.com and initials), and the personal message is deleted. The gift card code, value, balance, and redemption status are not touched. The card keeps working at checkout.
When does the retention window start counting?
From the day the card is delivered. Cards that were never delivered count from creation, and cancelled deliveries count from cancellation. Cards scheduled for a future delivery are never anonymized before they send.
Can I undo an anonymization?
No. Removal is permanent, which is what makes it meaningful for privacy compliance. That is why BatchCard shows a preview count and asks for explicit confirmation before any data is removed.
Which plans include data retention?
Data retention is included on Starter ($4.99/mo) and above. It is off by default on every plan.
